Asana setup walkthrough
Install Vindex from the Asana app marketplace, authorize your workspace, and start catching the tasks that look ready but aren't. The free tier gives every workspace 25 scores per month with no account required.
Before you begin
- An Asana workspace on any paid plan
- Workspace admin access — required to authorize a new app
- About five minutes; no credit card needed for the free tier
The walkthrough
Install Vindex from the Asana app marketplace
From the Vindex listing in the Asana app marketplace, click the Install button. A workspace picker opens.
- Choose the workspace you want Vindex to score (you can add more later).
- Click Continue. Asana redirects you to its standard authorization screen.
If you don't see Vindex in the marketplace, search for Vindex by name and open the listing from there.
Authorize Vindex at the workspace level
On Asana's authorization screen, review the permissions Vindex is requesting:
- Read tasks— so Vindex can score titles, descriptions, and acceptance criteria.
- Write custom fields— so Vindex can post the score and band back onto the task.
Click Allow. Asana returns you to a Vindex confirmation screen that says Workspace connected.
Choose free tier or link a Vindex account
The Vindex confirmation screen shows two options:
- Stay on the free tier— 25 scores per calendar month, no Vindex account, no credit card. Click Start scoringand you're done with setup.
- Link a Vindex account— raises your monthly quota to your plan's limit and unlocks the analytics dashboard, score history, and team-level views. Click Link to Vindex to continue.
If you choose to link, Vindex opens the workspace link page. Sign in if you have a Vindex account, or click Create accountand complete the short registration form (email, password, company name). The workspace links to your account automatically — you'll see Workspace linkedwhen it's done.
You can switch from free to linked at any time later from Apps → Vindex → Manage inside Asana.
Score your first task
Go back to Asana and open any task in the connected workspace. You should see two new custom fields at the top of the task:
- Vindex Score— a number out of 10 representing the task's overall story health.
- Vindex Band — a colour-coded label: Healthy, Needs review, or At risk.
To see the breakdown by INVEST dimension and the specific issues Vindex found, open the task's right-hand panel and click the Vindex tab. The widget shows a per-dimension score, a plain-language explanation of each issue, and suggested next actions.
Edit the task description or acceptance criteria and save — Vindex re-scores automatically within a few seconds. To force a fresh score on demand, open the Vindex widget and click Re-score.
Free tier vs. linked account
Every Asana workspace that installs Vindex gets 25 scores per calendar month, free. No Vindex account, no credit card, no setup beyond the OAuth flow above. The quota resets on the first of each month.
Linking the workspace to a Vindex account raises the quota to your plan's limit and unlocks the analytics dashboard, score history, and team-level views. Link from the post-install screen, or any time later from Apps → Vindex → Manage in Asana.
Upgrades and re-installs
Vindex updates roll out without admin intervention. The OAuth grant is preserved across versions, so scoring keeps running and no re-authorization is needed.
If you uninstall and reinstall the app, the workspace re-binds to its existing Vindex record on the first call — your score history and any linked-account quota are preserved.
Troubleshooting
Tasks have no Vindex Score field
The custom fields are added on first install. If they're missing, confirm Vindex is still authorized at Settings → Apps → Vindex. Re-authorize if the grant was revoked.
Scores aren't updating after I edit a task
Scoring is asynchronous and triggered by Asana's task-update webhook. Give it a few seconds; if it stays stale, open the Vindex widget and press Re-score to force a fresh evaluation.
We hit the 25-scores monthly limit
The free tier resets on the first of each month. To raise the limit immediately, link the workspace to a Vindex account from Apps → Vindex → Manage and pick a plan.
Authorization fails with a permissions error
Only an Asana workspace admin can authorize new apps. Ask the admin who manages app installs to complete the OAuth step; the app then works for every member.
